Pay: 19.24 Per hour
Hours: 8:00am - 5:00pm (Mon-Fri)
Reports to the director, finance & administration. Directly supervises the records clerk. Responsible for the management of student records, pay and allowances, leaves, government transportation, maximum benefits, and input and exit processing.
- Plan, coordinate and supervise the administrative and student records activities of the department.
- Provide staff training, evaluate staff performance, recommend and implement departmental changes to the director, finance & administration, and coordinated with the manager, human resources prior to implementation.
- Assist the director, finance & administration, in the preparation of the departmental budget; monitor and control expenditures; review and recommend changes to budget authorizations.
- Assist in the development and implementation of new and revised policies and procedures affecting student records;
- Regularly assess and audit department for contractual compliance and quality of services to students; prepare reports on audits and assessments.
- Supervise maintenance and preparation of all central student records, reports, and other written communications.
- Train records clerks on the maintenance and completion of student records; establish work assignments and priorities.
- Statistically analyze student records; regularly review and audit records for compliance with DOL requirements.
- Coordinate clothing allowance issue, audit of student pay, government transportation and meal allowance administration.
- Coordinate with other center staff concerning student records.
- Supervise input, exit processing, transfers and extensions of student enrollment.
- Ensure timely and accurate submission of student records, reports and other documents to appropriate national, regional, other contractor and center offices.
- Maintain accurate and current accountability systems such as morning report, enrollment, allotments, leave records, student pay and profiles.
- Audit center student records against DOL data center records for accuracy; resolve discrepancies.
- Respond to student, staff and outside agency inquiries regarding student records; ensure Privacy Act compliance.
- Provide orientation for new staff and students in student records functions.
Education and Experience Requirements:
Bachelor's degree and two years related experience required. Directly related experience may be considered in lieu of formal education requirements on a year by year basis. Excellent written and verbal communications skills and computer proficiency required. Valid driver’s license with an acceptable driving record, unless waived by management.
