Position Summary:

Reports to the Manager, Administrative and Analytical Shared Services.  Responsible for performing a variety of administrative functions that require extreme discretion and accuracy in compliance with company policies and management directives.   

 

 Essential Functions:

  1. Contribute to an environment that encourages customer service, teamwork, and innovation.
  2. Communicate business processes to varied levels across the organization.
  3. Optimize services through process improvement for the assigned areas of responsibility.
  4. Manage Key Performance Indicators (KPI’s) related to designated business processes.   
  5. Demonstrate ownership for assigned business processes through continued process improvement.
  6. Provide a best-in-class customer service experience through timely processing, response times, and issue resolution.
  7. Meet operational performance metrics.
  8. Adhere to programs and policies within the service team.
  9. Provide feedback that will identify opportunities to enhance the effectiveness and efficiency of business process(es).
  10. Demonstrate a commitment to valuing diversity and contributing to an inclusive working environment.
  11. Work closely with other members of the management team ensuring the Shared Services Strategy is aligned with business objectives.

  13. Ensure day-to-day activities promote sustainability and reduce the impact on the environment by minimizing waste and maximizing recycling; saving energy; and minimizing water usage.
  14. It is expected that the incumbent shall perform other duties as assigned within his/her capabilities as determined by management.

 Essential Finance Functions:

  1. Lead on department projects as assigned including planning, tracking, and communication with team members.
  2. Coordinate various department meetings on a routine basis. Create agendas and gather pertinent information from other managers/directors. Track/communicate action items for follow-up.
  3. Update SS intranet page, Microsoft Teams user maintenance, and SS Outlook Calendar (birthdays/anniversaries) in coordination with Administrative Services Manager.
  4. Work with other administrative staff to assist in the coordination of meetings, events, and special projects.
  5. Perform office duties that include ordering supplies, maintaining accountability of property, and managing a records database.
  6. Open and sort mail, scan corporate invoices, checks review, verify, and correct addresses on returned mail.
  7. Assist with creating presentation materials for the department meetings, including charts and graphs, flow charts, and PowerPoint presentations in coordination with Administrative Service Manager.
  8. Assist with various research tasks, report compilations, and/or correspondence as requested.
  9. Support employee contribution programs.
  10. Gathering and submitting performance documents for the Shared Services team for VP approval.
  11. It is expected that the incumbent shall perform other duties as assigned within his/her capabilities as determined by management.

Education and Experience Requirements:

High school diploma or equivalent and one year of related experience. Must have knowledge and experience using Microsoft 365 Office Suite and/or personal computer systems. Preferred experience with Oracle Fusion and ticketing software solution.  Demonstrate ability to work well in a team effort. Must have excellent verbal and written communication skills along with strong attention to detail. Unless waived by management, a valid driver's license in the state of employment with an acceptable driving record.
