Position Summary:
Reports to the Manager, Administrative and Analytical Shared Services. Responsible for performing a variety of administrative functions that require extreme discretion and accuracy in compliance with company policies and management directives.
Essential Functions:
- Contribute to an environment that encourages customer service, teamwork, and innovation.
- Communicate business processes to varied levels across the organization.
- Optimize services through process improvement for the assigned areas of responsibility.
- Manage Key Performance Indicators (KPI’s) related to designated business processes.
- Demonstrate ownership for assigned business processes through continued process improvement.
- Provide a best-in-class customer service experience through timely processing, response times, and issue resolution.
- Meet operational performance metrics.
- Adhere to programs and policies within the service team.
- Provide feedback that will identify opportunities to enhance the effectiveness and efficiency of business process(es).

- Work closely with other members of the management team ensuring the Shared Services Strategy is aligned with business objectives.

- Ensure day-to-day activities promote sustainability and reduce the impact on the environment by minimizing waste and maximizing recycling; saving energy; and minimizing water usage.
- It is expected that the incumbent shall perform other duties as assigned within his/her capabilities as determined by management.
Essential Finance Functions:
- Lead on department projects as assigned including planning, tracking, and communication with team members.
- Coordinate various department meetings on a routine basis. Create agendas and gather pertinent information from other managers/directors. Track/communicate action items for follow-up.
- Update SS intranet page, Microsoft Teams user maintenance, and SS Outlook Calendar (birthdays/anniversaries) in coordination with Administrative Services Manager.
- Work with other administrative staff to assist in the coordination of meetings, events, and special projects.
- Perform office duties that include ordering supplies, maintaining accountability of property, and managing a records database.
- Open and sort mail, scan corporate invoices, checks review, verify, and correct addresses on returned mail.
- Assist with creating presentation materials for the department meetings, including charts and graphs, flow charts, and PowerPoint presentations in coordination with Administrative Service Manager.
- Assist with various research tasks, report compilations, and/or correspondence as requested.
- Support employee contribution programs.
- Gathering and submitting performance documents for the Shared Services team for VP approval.
- It is expected that the incumbent shall perform other duties as assigned within his/her capabilities as determined by management.
Education and Experience Requirements:
High school diploma or equivalent and one year of related experience. Must have knowledge and experience using Microsoft 365 Office Suite and/or personal computer systems. Preferred experience with Oracle Fusion and ticketing software solution. Demonstrate ability to work well in a team effort. Must have excellent verbal and written communication skills along with strong attention to detail. Unless waived by management, a valid driver's license in the state of employment with an acceptable driving record.
