Position Title: Records Clerk

Facility Name: GRACEVILLE CORRECTIONAL FACILITY

Location: 5168 Ezell Rd., Graceville, FL., 32440

Status: Full Time, Monday – Friday

Position Summary:

Reports to the records supervisor.  Responsible for clerical tasks, systems and procedures related to inmate records administration in accordance with American Correctional Association (ACA) standards, Management & Training Corporation (MTC), Florida Department of Corrections (FDOC) and Florida Department of Management Services (DMS) directives. 

Essential Functions:

  1. Operate data processing equipment.
  2. Coordinate prisoner transfers (to include, but not limited to, review and coordination of inmate movement paperwork related to permanent transfers, final releases, and regularly scheduled buses and vans.)  Provide notification to other institution departments regarding pending inmate movement. Ensure all inmate files are consolidated and labeled prior to transfer.
  3. Organize and maintain Judgment and Commitment (J&C) files.
  4. Review court documents and NCIC rap sheets for possible pending charges and follow through by preparing requests for notification of release for federal, state and local law enforcement agencies.
  5. Conduct review of court orders relating to commitment. Conduct crosscheck of sentencing documents and ensure all appropriate documents are forwarded to the Designation and Sentence Computation Center (DSCC) for sentence computation.
  6. Performs duties related to the institution locator center procedures. 
  7. Proofread records or forms; copy needed information from one record to another as required. 
  8. Assist in Completing proper forms and notification upon inmate deaths or escapes. 
  9. Maintain active index system and inactive card file and assists records coordinator in file retirement and annual archive procedures.
  10. Audit inmate files according to FDOC standards.
  11. Promote the development of positive social skills through modeling appropriate behaviors and intervening when inappropriate behaviors are observed.
  12. Maintain accountability of inmates and property; adhere to safety practices.

It is expected that the incumbent shall perform other duties as assigned within his/her capabilities as determined by management.

Education and Experience Requirements:

High school diploma or equivalent, and two (2) years related experience including word processing or computer data entry experience preferred.  Must be computer proficient.  Valid driver’s license in the state of Florida with an acceptable driving record required, unless waived by management.

Post Hire Requirements:

Must successfully complete annual in-service training requirements.
